A pharmacy's controlled-substance counts, reconciled every night instead of every quarter

Three independent pharmacies reconciled controlled substances by hand once a quarter. A nightly job and an AI agent now find the gaps the next morning, and a pharmacist closes each one.

This shows the kind of work we do. It is not a client engagement, and the business in it is invented.

Where it started

The problem

Pharmacists counted the safe, compared it to the dispensing system, and chased any difference through paper invoices. Each quarter, that cost the owner a weekend.

A small discrepancy found in March could have started in January. By then nobody remembered the shift.

What changed

What we did

A nightly job pulls the day's dispensing records and the wholesaler's delivery files, then compares them, drug by drug, against the perpetual inventory.

An AI agent does the first round of chasing. It matches partial fills and catches deliveries booked against the wrong store. Whatever it can't explain, it writes up in plain English for the pharmacist in charge.

It never closes anything itself. A pharmacist closes every discrepancy, and the agent's working is kept alongside so an inspector can see how each one was resolved.

The quarterly physical count still happens. It just takes an afternoon now, because most of the surprises were found weeks earlier.
